Job Purpose
· Revenue Achievement: Assist your PM in ensuring your site hits their revenue goals.
· Rebooking rate: Achieve overall rebooking rates for the site.
· Lead to Consult Completed: Nurture Leads effectively to contribute to overall Lead to Consult Completed for the site.
Duties/Responsibilities:
· Assist the Practice Manager in managing all aspects of operations, including sales, customer service, employee management, inventory management, and administrative responsibilities
· Actively play key roles and be present on the floor with employees to assist the Practice Manager in developing a high performing team, and building a strong patient base and brand awareness
· Take initiative to be the voice of on-site staff, escalate on-site issues, as well as process and performance improvement
· Hit required productivity metrics on a weekly basis through phone calls, texts, and emails.
· Achieve new patient and existing patient acquisition goals through lead nurturing and patient follow up
· Greet patients warmly and manage check-in/check-out process efficiently.
· Schedule appointments and manage booking system to maximize productivity.
· Navigate different software systems throughout the patient experience while adhering to data entry requirements
· Assist providers during treatments as needed, ensuring adherence to protocols and standards.
· Act as a point of contact in the absence of the Practice manager.
· Assist Practice Manager in overseeing interviewing and onboarding process for all Admin and Clinical roles.
· Assist Practice Manager in conducting performance evaluations and providing feedback.
· Provide direct hands-on training and educational materials to all staff.
· Ensure legal obligations are always met.
· Actively handle patient complaints and concerns in a timely manner.
· Actively participate and engage in quarterly leadership meetings / company events, outings, or trainings.
· Ensure all employees are achieving expectations on daily, weekly, monthly, and quarterly basis.
Required Skills/Abilities:
· Familiarity with company policies and legal guidelines of the field.
· Ability to learn a variety of job descriptions.
· Excellent communication and interpersonal skills.
· Outstanding organizational and leadership skills.
· Good knowledge of MS Office.
· Bilingual in English and Spanish (preferred)
Education and Experience:
· High school diploma; BS/BA in management or relevant discipline preferred.
· Experience in managing business operations and daily office flow to achieve high performance is preferred
· Experience in the medical or spa industry, luxury retail, hospitality, or similar industry
· Diploma/Certificate in first line management or relevant field preferred.
Physical Requirements:
· Must be able to lift up to 15 pounds at a time.
· Prolonged periods of sitting at a desk and working on a computer.
· Prolonged periods of standing for up to 8 hours at a time.
Travel & Schedule Required:
· Potential travel to other sites on an as-needed basis.
· Must be willing to work a flexible schedule to accomplish all major responsibilities; This includes weekdays, evenings and weekends. Specific hours will vary by location.
